PoolHubs Odoo POS – Privacy Policy

PoolHubs, LLC ("PoolHubs", "we") operates the PoolHubs Odoo POS integration, which connects our own Odoo point of sale with our own Clover devices. This policy explains what information the integration handles.

Information we access

- Merchant information from Clover (Merchant Read permission), used only to identify our Clover account and list our Clover devices so each register is paired with its device.

- Payment results returned by Clover for each transaction: payment ID, amount, result, card brand, last four digits, authorization code and transaction reference.

Information we do not access or store

We never receive or store full card numbers, expiration dates, security codes, PINs or magnetic stripe/chip data. All card data is captured and processed by Clover on the Clover device.

How we use the information

Only to complete the sale in our Odoo point of sale, process refunds and voids, reconcile Clover deposits and keep our accounting records.

Sharing

We do not sell or share this information with third parties. It is stored in our Odoo database (hosted by Odoo S.A. on Odoo.sh) with access limited to authorized PoolHubs staff.

Retention

Payment records are kept as long as required for accounting and tax purposes.

Security

Access to the Clover account uses OAuth tokens stored on our server; they are never sent to the point-of-sale browser.
